Rock a thon 2011!!!!

Dear Parents,                                                                            September 6, 2011
           
We will have our Rock-A-Thon, Friday, September 23, 2011  from 4-8:30 PM. It will be a fun and effective way to secure community support for the needs of the performing arts department here at Northwestern Middle School.  Students and parents are asked to secure pledges from their circle of friends, relatives, business associates, church family and neighbors.  After gathering pledges, the students can show their support for the performing arts department by committing themselves to four hours of sitting in a chair, and keeping it rocking.  (Of course there will be periodic stretch and restroom breaks.)
            We have found that when conducting fundraisers, most people in the community are very eager to support music students.  In fact, many have expressed that they would rather have their entire donation go to the group than to purchase something with only half the cost going to the organization.  Since 100% of the donation goes to the organization, it is 100% tax deductible when you itemize.  We ask that supporters pledge a flat rate donation.  Attached to this letter is a flyer you may use to show to potential supporters that explains the Rock-A-Thon and the uses of the donated funds.
            “How am I going to get a rocking chair to school for my child?” Everyone seems to be able to manage to get one here.  If you run into a problem, let us know and we will try to help.  To keep everyone happy and awake, we will have snacks, movies and a video game area.  Students are welcome to bring G and PG rated movies as long as the videos are clearly marked with their name and grade.  We will not show PG-13 movies.  Students may bring video games and portable music players with headphones.  Please do not bring portable TVs, laptops or DVD players. 
            Money will be collected on the Thursday and Friday mornings before the Rock-A-Thon and at the door to the Rock-A-Thon.  Please turn in all collected funds in an envelope clearly marked with your child’s name, grade, group (band, chorus, or orchestra) and amount.  Checks should be made out to Northwestern Middle School.  We prefer parents bring the rocking chairs that morning between 7:45 and 8:45 AM (We understand if you need to make special arrangements to drop it off on Wednesday or Thursday afternoon.)  Just let us know.  The chairs will be stored in your child’s designated room (band, chorus, or orchestra). 
            Dinner will be provided for your child during the Rock-A-Thon. Please include $6.00 for the Chick-Fil-A meal (if your child wishes to eat the meal) with the registration form. Drinks are not included with the price of the meal. Children are encouraged to bring along individual snacks, if they would like, for the rest of the evening.  Please, parents, help keep them neat!
            PRIZES!!!!!!  First, we are asking that all members of the organization collect a minimum of $50.00.  Students are strongly encouraged to raise more!  Even if your student can not participate, please consider donating to your performing group! The top three fund raisers from each group will be rewarded by getting to smash a pie in their director’s face.
            Parents – we need you to help chaperone!!!  Would you please give a few hours of your time to help make this a success? We love having our NMS parents helping with events! The performing arts students at Northwestern Middle School are about to show their support for their program by ROCKING (yes, in chairs) for four hours straight on Friday, September 23, 2011.

Details to remember regarding the NMS Rock-a-thon…
Friday, September 23, 2011
4-8:30 PM

1.     We ask that all students raise a minimum of $50.00 to participate. Students must also have a signed permission form in order to attend.
2.     Donations may be turned in on Tuesday (all day), Wednesday, Thursday, Friday all day or at the entrance (atrium) of the cafeteria on Friday at 4:00 PM.
3.     Donations should be in a sealed envelope marked with the total amount, your child’s name, grade and group (band, chorus, or orchestra).
4.     Rocking chairs may be brought in on Thursday evening or Friday morning to be stored in your child’s designated room during the day.
5.     Rock-a-thon participants who signed up for Chick-fil-A meals will be eating at 6 PM.  Students who choose not to have Chick-fil-A are responsible for providing their own meals (or have your parents bring it to the cafeteria).  Students are encouraged to bring snacks (small coolers are OK).
6.     Students are encouraged to bring movies (G or PG only) and video game systems (Super Nintendo, Nintendo 64 and Playstation 2; rated E or E 10 &Up  ONLY) and controllers.  Please make sure that ALL videos, games and game systems are clearly labeled with your child’s name and grade. No personal video players, laptops or TVs.
7.     For check-in and throughout the afternoon and evening, enter and exit through the doors at the end of the Connections hallway.  Students will NOT be allowed to go anywhere in the building other than the cafeteria.
8.     There has been such a wonderful response to the Rock-a-thon that due to the size of the group we must limit the activity to Rock-a-thon participants and volunteers only.  No visitors will be allowed.  
9.     Please meet your child after the Rock-a-thon promptly at 8:30 PM inside the building at the atrium area by the cafeteria.  If your child will be riding with someone other than a parent, please have your child bring a signed note.
